Job Description

Please note: This position is part time, but will eventually transition to a full time position. The timeline for this is not definitive, but dependent on business needs and growth.

Job Summary: 

The Purchasing Specialist compiles information, records and quotations to prepare purchase orders for procurement of material, equipment, tools, parts and services. Maintains records of inventory and reports concerning delivery status of materials ordered. Conducts research and response to internal and external inquiries for status and information.

Duties and Responsibilities:

  • Preparation of daily Excel reports to include receiving, resale and/or industrial design (parts) and raw goods.
  • Investigate, research and update status of purchase orders and inventory for internal stakeholders.
  • Manage the resale log, to include tracking, management and movement of shipments.
  • Maintenance updating of various tracking spreadsheets in Excel, such as vendor lists.
  • Support monthly EPO inventory, research, reconciliation and list reviews.
  • Assist with P.O. generation and order tracking.
  • Respond to inquiries and provide status updates to Customer Service, Design and other internal staff.
  • Filing and administrative duties as needed.

Education and Experience:

  • High school diploma with some college preferred
  • Two years of experience in accounting, bookkeeping or administration, or related field.
  • Experience in printing environment desired. 

Qualifications, Skills Abilities and Competencies:

  • Ability to clearly write routine reports and correspondence. 
  • Highly organized, with strong attention to detail.
  • Ability to manage large workload, while producing quality work in a fast-pace environment with interruptions and multiple deadlines.  
  • Demonstrated ability to deal courteously and professionally with a diverse customers and internal customers such as creative and production departments.
  • Advanced ability to communicate verbally and in writing in English.
  • Knowledge and ability to proofread copy and data.
  • Proficiency with PC’s to include knowledge of MS Office (Outlook, Word, Excel),
  • Ability to generate information and tracking status using proprietary software.
  • Ability to contribute to building a strong and positive team spirit as well as align with GSP values.
